Privacy Policy

This Privacy Policy explains how Stellar Rentals dba PrepBnB ("we", "us", or "our") collects, uses, stores, and shares information about you when you use prepbnb.com and our related services (the "Services"). PrepBnB is a cleaning operations platform for short-term rental (STR) hosts and the cleaners they work with.

1. Summary

• What we collect: account details (name, email, phone), property information you enter (listing name, address, iCal URLs, beds/baths/amenities), job and checklist data, photos uploaded by cleaners, payment metadata, and basic usage/device data.
• Why: to run your account, automate turnovers, notify cleaners, process subscription payments, prevent abuse, and improve the product.
• Who we share with: our infrastructure and service providers (listed below). We do not sell your personal information.
• Your rights: access, correction, deletion, and (where applicable) data portability and opt-out of targeted advertising. Email us to exercise them.

2. Information We Collect

Information you provide

• Account information: name, email address, phone number (used for OTP sign-in), role (host or cleaner), and password or one-time codes.
• Property & booking data: listing name, address, bedrooms, bathrooms, amenities, and the iCal URLs you paste in so we can sync your Airbnb / VRBO calendar.
• Job & cleaner data: cleaning job records, checklist items, photos cleaners upload as proof of completion, damage or supply issues reported, payout amounts, and audit-log events.
• Billing information: for Pro subscribers, payment card data is collected and stored by our processor, Stripe. We receive billing metadata (subscription status, last 4 digits, plan) but do not store full card numbers ourselves.
• Support & correspondence: anything you send us by email or in-app messages.

Information collected automatically

• Log & device data: IP address, browser type, device/OS, referrer URL, pages visited, timestamps.
• Cookies & local storage: a session cookie for authentication (via Supabase), a small number of preference flags (e.g., dismissed banners) in localStorage, and anonymous usage counters via Vercel Analytics.
• Marketing attribution: if you sign up through a UTM-tagged link, we store the utm_source, utm_medium, utm_campaign, and utm_content values with your user record to measure acquisition channels.

Information from third parties

When you paste an iCal feed URL (e.g., from Airbnb or VRBO), we fetch booking data from that URL on your behalf — typically the checkout date, a booking identifier, and optionally the guest name as it appears in the feed. We do not pull guest contact information from these feeds. We do not connect to Airbnb, VRBO, or any other booking platform via their private APIs.

3. How We Use Your Information

• Provide, operate, and maintain the Services.
• Authenticate you (via email or SMS one-time codes) and keep your session secure.
• Automate cleaning turnovers — create jobs from your iCal feed, email your cleaner a secure link, generate AI checklists.
• Send transactional email (job notifications, day-before reminders, payment notifications, receipts, and the weekly summary digest).
• Process subscription payments and manage billing.
• Provide customer support and respond to inquiries.
• Detect, prevent, and respond to fraud, abuse, or security incidents.
• Measure usage and product performance so we can improve PrepBnB.
• Comply with legal obligations and enforce our Terms of Service.

4. Sub-Processors & Service Providers

We use the following third-party providers to run the Services. Each is bound by its own privacy terms.

5. AI Features

PrepBnB uses Anthropic's Claude models to generate room-by-room cleaning checklists based on property details you provide (listing name, beds, baths, amenities). We do not send guest personal information to Anthropic. Per Anthropic's commercial terms, API inputs and outputs are not used to train their models.

6. How We Share Information

We share personal information only in these situations:

• With service providers listed in Section 4, under contracts that restrict their use of the data.
• Between users of the same workspace. If you are a host, cleaners in your pool see the jobs and checklists you assign to them. If you are a cleaner, the host whose listing you clean sees your name, email, and the photos and feedback you submit.
• For legal reasons — to comply with a subpoena, court order, or other legal process, or to protect the rights, property, or safety of PrepBnB, our users, or others.
• Business transfers — if Stellar Rentals dba PrepBnB is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
• With your consent — for any other purpose we tell you about and you agree to.

We do not sell your personal information and we do not share it for cross-context behavioral advertising.

7. Data Retention

We keep your personal information for as long as your account is active and for a reasonable period afterward to comply with legal obligations, resolve disputes, and enforce our agreements. When you delete your account, we remove or anonymize your personal data within 30 days, except where retention is required by law (e.g., tax records related to subscription payments).

8. Security

We use industry-standard safeguards — encryption in transit (TLS), encryption at rest on Supabase, scoped API keys, and access controls — to protect your information. No system is perfectly secure; you use the Services at your own risk. If we become aware of a breach that affects your personal information, we will notify you as required by law.

9. Children

PrepBnB is not directed to children under 13 (or under 16 in the EEA/UK). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.

10. International Users

PrepBnB is operated from the United States. If you access the Services from outside the US, your information will be transferred to, processed in, and stored in the United States, which may have different data-protection laws than your country.

11. Your Privacy Rights

Depending on where you live, you may have the right to:

• Access the personal information we hold about you.
• Correct inaccurate information.
• Delete your personal information.
• Receive a copy of your information in a portable format.
• Opt out of the sale of personal information or targeted advertising (PrepBnB does not sell personal information or use it for cross-context behavioral advertising).
• Withdraw consent, where processing is based on consent, without affecting the lawfulness of processing before withdrawal.
• Lodge a complaint with your data-protection authority.

To exercise any of these rights, email privacy@prepbnb.com from the email address associated with your account. We may need to verify your identity before fulfilling the request. We will respond within the timeframe required by applicable law (typically within 30 to 45 days). We will not discriminate against you for exercising any of your rights.

California "Shine the Light"

California residents may request a list of third parties to which we have disclosed personal information for direct-marketing purposes. We do not disclose personal information for third-party direct marketing.

Do-Not-Track

Because no common industry standard for DNT has been agreed on, we do not currently respond to browser DNT signals. We do not track you across third-party websites.

12. Changes to This Policy

We may update this policy from time to time. When we do, we will update the "Last updated" date at the top. If the changes are material, we will notify you by email or an in-app notice before they take effect. Continued use of the Services after the effective date means you accept the updated policy.
